01Scope and controller

Hermetica Inc. (“Hermetica”, “we”, “our”, or “us”) is the controller of personal data covered by this policy. This policy applies when you visit our website, ask for a demonstration, communicate with us, receive marketing from us, or otherwise engage with Hermetica as a customer, prospective customer, business partner, or their representative.

This is distinct from personal data that a customer provides for us to process on its behalf through our services. Where we act on a customer's instructions, that processing is governed by the applicable customer agreement. For a request about personal data controlled by your organization, contact that organization first.

02Personal data we collect

Depending on how you interact with us, we may collect:

Identity and contact details
Your first and last name and business email address. These are required when you request a demo.
Professional details
Your company name, which is required for a demo request, and optional information such as your position, primary location, and company employee range.
Inquiry and session details
Information you choose to provide, including a product capability, investment context, a short decision or workflow description, and other communications with us. Please do not include confidential materials in the demo form.
Marketing preferences
Whether you opted in to marketing communications, together with records of consent or withdrawal.
Request records
A request identifier, submission time, privacy-notice version, and a broad category for the demo link you followed, such as a product page or navigation link. The demo form does not submit arbitrary URL or campaign parameters.
Technical and usage data
Information such as your IP address, browser and device information, referring page, and information necessary to operate, secure, and understand use of our website.

03How and why we use data

We may use personal data to:

  • Receive, assess, and respond to demo requests and other business inquiries.
  • Arrange demonstrations and communicate about a potential or existing business relationship.
  • Operate, protect, troubleshoot, and improve our website and services.
  • Comply with legal obligations and protect our legal rights.

Your optional capability, investment context, and workflow choices are used to prepare the demo session. You can leave any of them open and agree the focus with us later.

Depending on the context, we rely on steps taken at your request before entering into a contract, our legitimate interests in operating and growing our business, compliance with legal obligations, or your consent. We consider and balance our legitimate interests against your rights where required.

04Marketing communications

Marketing consent is optional and separate from a demo request. If you opt in, we may send information about Hermetica's products, services, and events. You can withdraw consent at any time by using the unsubscribe method in a message or contacting us. Withdrawal does not affect processing that occurred before withdrawal, and it does not prevent us from responding to your demo request or other inquiry.

05How we share data

We may share personal data with personnel who need it for the purposes above and with service providers that support website hosting, security, email delivery, communications, font delivery, and professional advice. Information submitted through our demo form is received and stored through Netlify Forms, which can send submission notifications to authorized Hermetica personnel.

We may also disclose data where required by law, to protect rights or safety, or in connection with a corporate transaction. Where a service provider processes personal data on our behalf, it may do so only for the services it provides to us and under appropriate contractual safeguards.

06International transfers

Some recipients or service providers may process personal data outside your country. Where data protection law requires it, we use an approved transfer mechanism and appropriate safeguards, such as standard contractual clauses, or rely on another lawful basis for the transfer.

07Retention

We keep demo-request and business-inquiry data only for as long as needed to respond, manage the prospective or existing relationship, maintain appropriate business records, and meet legal obligations. If you consent to marketing, we retain the information needed to send those communications until you withdraw consent or unsubscribe. We may retain a record of consent and withdrawal for a reasonable period to demonstrate compliance.

08Your rights

Depending on your location and applicable law, you may have the right to:

  • Request access to or correction of your personal data.
  • Request erasure or restriction of processing.
  • Object to processing based on legitimate interests or for direct marketing.
  • Request transfer of your personal data.
  • Withdraw consent where processing depends on consent.
  • Lodge a complaint with the data protection authority in your country.

These rights may be subject to legal conditions and exceptions. We may need to verify your identity before completing a request. To ask a question or exercise a right, email privacy@hermetica-ai.com.

09Security

We use appropriate technical and organizational measures designed to protect personal data from accidental loss and unauthorized access, use, alteration, or disclosure. Access is limited to people and service providers with a business need to know and appropriate confidentiality obligations. No method of transmission or storage is completely secure.

10Website technologies

Loading this website involves requests to our hosting infrastructure and to Google Fonts, which supplies the typefaces. These requests include technical connection information such as your IP address and browser information. See Google's Privacy Policy for information about its handling of personal data.

Links to other websites and services may take you outside Hermetica's website. Their own privacy notices describe how they handle personal data.
